(And How to Fix It in 5 Minutes)
If your team members regularly work on their personal computer then you’ve probably gotten the panic call: “All my work files and calendar events have vanished!”
Nine times out of ten, nothing has actually been deleted. Instead, Chrome is quietly routing them back to their personal Google account every time they open a new tab.
In this guide, we’ll step through a quick, five-minute fix in your Google Workspace Admin Console that stops personal and work accounts from mixing up, once and for all.
Why Your Staff’s Work Files Keep Disappearing
Here is what is actually happening behind the scenes.
When employees log into their work account from a personal computer, they usually click their personal account icon in the top-right corner of Chrome and select Add another account.
This “stacks” the work account on top of their personal profile. Because the browser profile itself remains personal, Chrome defaults back to the primary personal account whenever a new tab is opened.
The classic scenario: A new team member signs into their work email via Gmail in Chrome. They open a new tab and type calendar.google.com to check their schedule.
But Chrome opens their personal Google Calendar instead. They see a blank day, assume there are no meetings scheduled, and miss an important client call.
The 5-Minute Fix in Google Admin Console
To prevent this account stacking, you can enforce browser profile separation across your entire organisation.
Step-by-Step Configuration
- Navigate to Chrome Settings
Log into admin.google.com, then click on Devices > Chrome > Settings in the left-hand menu. - Configure Sign-In Interception
- Scroll down to Sign-in settings.
- Locate Sign-in interception. Make sure Enable sign-in interception is selected in the Configuration drop-down.
- Click Save, then click Close.
- What this does: Tells Chrome to prompt users whenever they sign in with a company email address.
- Force Separate Profiles
- Click on Separate profile for managed Google Identity.
- In the Configuration drop-down, select Force separate profile and forbid secondary managed accounts.
- Click Save, then click Close.
- Enforce Profile Separation
- Click on Enterprise profile separation.
- In the Configuration drop-down, select Enforce profile separation.
- Click Save, then click Close.
How to Test the Fix
You can easily verify that the policy is working:
- Open a personal Google account in Chrome.
- Click the profile icon in the top-right corner and add your work account details.
- Chrome will display a message stating that your organisation requires you to set up a new profile.
- Click Continue (twice).
- Add a name or label, choose a color theme if desired, or click Skip.
From now on, work and personal browsing stay completely separate. To access work tools in the future, staff simply click the Browser Profile icon at the top right and select their work profile under Other Chrome Profiles.
Note: This policy takes effect the next time staff sign into their Google accounts. If you need it to apply immediately across your team, you can reset sign-in cookies from the Admin Console.
